Writes minutes from Board meetings and distributes to Board members for approval – draft meeting minutes sent via e-mail, bring hard copies to next meeting

All outgoing AHENJ mail is sent through the secretary for organizational record keeping – hard copy mail can become very expensive, we determined that our non-member mailings for routine meetings generated less than one attendee per month, cost to send was well over $200

Secretary also maintains the current e-mail list for both members and non-members, making sure to remove all invalid or changed e-mail addresses from the list as soon as they are noted.

Meeting notice should always include the following information:
-Location of meeting, room if possible
-Time
-Speaker & topic- try to get a small blurb on the subject to include as well, it seems to improve attendance
-Directions- copy and paste from location’s website, then add a link to the location’s website in the electronic version- makes directions much easier.
-Cost for non-members, students and members if applicable

Update the website:
-Atleast monthly for the program information, job bank and current info.

Job bank info is cut and pasted from the ACHE website. We generally post any related job offerings in our area from both employers and reputable headhunters, there is no fee attached.

Hand off all archives and transition to incoming Secretary in July.

Secretary. The Secretary shall keep the minutes and records of AHENJ in appropriate books, see that all notices are given in accordance with these Bylaws or as provided by law, keep the seal of AHENJ and affix same to corporate documents, post employment opportunities on the website and, in general, perform all duties incidental to the office of Secretary and such other duties as may be assigned by the President or in consultation with the AHENJ Board of Directors.
